Hi friends, I need your help for setting up File/Folder/Printer sharing in small office LAN and also secure Files (password protect) among users. I have attached two JPG files in which i have tried my best to show the network diagram and how i want to share the files and folders. So please have a look at it and help me. All the PCs are connected and i have made one Windows 7 Ultimate PC acting as File Server keeping its D Drive in sharing with other five Windows 7 Ultimate PCs acting as clients. I just want to know how to protect Files as per my requirement. Thanks

NOTE:- There are no fixed PC of any dept users. All the users or Dept Head use any PCs as per availability.

Welcome to the forum. What you really need is the file sharing pc to be a server as its makes life simpler. I assume you have the drive shared so every one can connect and now you want folders in that drive for each user so only that user can see it?
As any user can use a pc do they all login to the pc with the same password or do they have there own as this makes it harder.
If they all login with there own password then you can set the permissions on that folder so only that user can get to it + a admin you must have a admin or anyone can leave and lock out company files.
You could use truecrypt to encrypt files the danger again is a users changes the password and leaves and the files are lost forever

Hey Samuria, thanks for quick reply. Well right now i have the folders in D Drive which sharing with all the other five PCs. Now the user account on those five PCs are "Admin" and "Guest". So all the people are logging in the "Guest account" and using the shared files. As per your suggestion, i will create the user accounts (Research Head, RG1, RG2, RG3, RG4, RG5, Tech Head, Tech, Account, Quality Head, Quality) on all the five PCs and also on PC acting as Server, making all the PCs under "Workgroup".

Now it would be great if you can just help me in showing how to set the permission for just Research Dept so i can do it for other departments. In Research Folder, Research Head user can Create, Modify and Delete the files and folder while RG1, RG2..RG5 can Create and Modify the files in their respective folder but CANNOT delete and also CANNOT access the other Groups and also Department folder. And also i want to know that will all the users can remotely print their files? Sorry for troubling you so much. Thanks in advance

As explained this only work if the user logs in to the pc on their own account. As its not a server you need to create accounts on the pc with the same username and password they login in with on the other pc. Then create a group research and add the users to it. Now you have to take care remember deny takes president over allow. Everyone will be a member of everyone group so first add the new group to the permissions. Make sure admin has full control. Then you want to remove everyone else from having access which will include the group everyone.

You can actual do it by sharing the folders and setting permissions on the share or do it on the folders with ntfs
