Message in Outlook 2003 when I do a send and receive.

Randomly I will have users that can not connect to the Microsoft Exchange server. They can be connected to the server then all of a sudden they can not send emails anymore. If I tell them to just wait perhaps a couple of hours it will start working again.

The PCs that are having the problems are windows XP SP2 with Microsoft office 2003 SP2. The Microsoft Exchange Server is 2003 with SP2.

I am able to ping the exchange server by name. I am able to go into webmail and send / receive emails.

By default I have the use cached Exchanged mode checked. I uncheck this, exit Outlook. If I open out look it still can not connect. I then go back into the settings and chech the use cached Exchange mode.

If I create a new user profile in Outlook for the user I can click on the check name button and it resolves the exchange server and the mailbox. After I create the new profile and try to logon it can not connect to the exchange server.

Hey there S-Luke,
  1. Roughly how long is the user disconnected from the exchange server?
  2. If you restart their PC does outlook start working again?
  3. How many users do you have on the network?
Next time it happens would you be able to open your command prompt windows (from the XP machine) and type ipconfig /flushdnsand press enter.
Exit that screen and try to open outlook again, let us know if that helps.

1. Most of the time it seems to be a couple of hours the users are not connected

2. When you reboot the computer that does not make any difference.
Maybe a couple thousand users. The corporate office has us broken down into different storage groups and then that is broken into mailbox stores.

The corporate IT thinks it's a email profile issue. They have suggested going into outlook 2003 and unchecking the cached exchange mode, open outlook (which I can't open because it says no connection), then go back in and check use cached exchange mode and that will fix the problem.

I've created new profiles for that user without any success.

There is a setting that you can check in email that will "Always prompt for user name and password" and that doesn't make a difference either.

Now I can setup my email on the computer and my email will work fine. So I'm thinking it has to be something on the exchange server.

You do know that you can change this setting through the control panel - mail section.
Inside there you can change the settings of your exchange account and disable/enable cache mode.
  • When you have cache mode enabled do you get any Sync errors in the sync folder in your Outlook?
  • In the bottom right hand corner of your outlook does it say 'Online' or disconnected?
It sounds like a problem on the exchange server or on your domain controller, it may be a problem with the users group.

Did you try running that command that I posted, ipconfig /flushdns?

I have tried many different thing to get the email to come back up and I thing what the problem might have been is related to the password. Our passwords are supposed to have a special character, number, and upper and or lower case letters and at least 7 characters long. I was told to try to have the 3 different types of characters within the first 7 characters of the password. I did this and the email came right up.

Hmmm ok so is it working properly now or does it still ask for the password?
