Question Outlook back-up

Hi,

I’m trying to back up all my messages and folders in Outlook (2003). I got some advice from this forum a few months ago, but obviously I did something wrong because I ended up with an office Data File of just 265 KB, even though I have about five years of emails amounting to several thousand which I am trying to save.

I am particularly concerned because earlier today my screen suddenly went blue, loads of writing appeared which I couldn’t read fast enough – but part of it said “preparing to crash dump” or something like that, and my hard drive started going tick,tick,tick,tick, quite loudly. Nothing happened so I held down the power button and then rebooted. Everything seems to be okay but I was very worried for a few minutes!

Two other things that I’m trying to resolve:

My computer is from America, but I am British and don’t want to write in US English (no insult intended!). So how do I change my templates so Word and Outlook use UK English? I noticed that even when I change a file’s language, next time I open it, it is set to US English again.

And finally, how do I change Outlook settings so when I reply to an email my type isn’t blue?

Welcome Stew,

The proper way to backup Outlook is to create an Archive file (PST). Please see this knowledgebase article from Microsoft

Your default Language settings for MS Office can be changed by following this instruction from Microsoft

And to change the Reply color in Outlook, go to Tools -> Options -> Mail Format -> Stationary & Fonts -> select Font under the Reply and change your color there. I would suggest selecting a different color than the default black for 1st e-mails as you would want your reply to *stand out* from the original.

Thanks, DCiAdmin, for your reply and the information. Sorry for a long gap. Life took a sudden hectic turn, but at last, this morning I found some time to get my concentration on this.

Great – I downloaded the Personal Folders Backup tool and I now have a 628,945 KB pst file – that looks closer to what’s in my Outlook folders (last time I tried to back-up the files I ended up with around a 250 KB file, which I knew was wrong).

At last, I can write in UK English and I don’t get red lines underneath “colour” and it doesn’t auto-change “organise” to “organize”. And when I reply to e-mails, I’m writing in black type.

All problems solved
